This Privacy Policy describes how Rolling Code Inc. (collectively "PrepBoss," "we," "us," or "our") collects, uses, and discloses information through the PrepBoss website located at prepboss.ai, related services, and applications (collectively, the "Service"). It also explains the choices you have with respect to your personal data and how you can contact us. We use your personal data to provide and improve the Service; by using the Service you agree to the collection and use of information in accordance with this Policy.

PrepBoss is designed as a professional tool for audiobook narrators and is intended for adults aged 18 and older. We do not knowingly collect or solicit personal information from anyone under 18. If you are under 18, please do not use the Service or provide any personal data. If we become aware that we have collected personal data from a minor, we will remove that information.

1. Information we collect

We collect information in three main ways: (1) information you provide directly to us, (2) information generated when you use the Service, and (3) information from cookies and similar technologies.

1.1 Information you provide

  • Account information. When you register for an account we may ask for personal data such as your name, email address, password, and, if you choose a paid plan, billing details such as postal address and payment card information. This information allows us to identify you and administer your account.
  • Manuscript content and notes. To deliver core functionality, PrepBoss ingests text you supply, such as manuscript files and chapter excerpts, and stores preparatory information you add, including character notes, voice decisions, and custom pronunciations. We also collect any files, comments, or other content you upload while using the Service. This content belongs to you, and you may delete or export it at any time. We do not use customer content to train or evaluate internal machine-learning models.
  • Communications. When you contact us by email, support ticket, or other channels, we collect the information you provide, including the content of messages and any attachments, to respond to your inquiry and improve the Service.

1.2 Information we collect automatically

  • Usage data. We collect usage data automatically when you use the Service. This may include your Internet Protocol (IP) address, browser type and version, device identifiers, pages visited, the time and date of your visits, time spent on pages, diagnostic data, and other statistics.
  • Cookies and similar technologies. We use session and persistent cookies to authenticate you, remember preferences, and analyze usage. Necessary cookies enable core site functionality; functionality cookies remember your preferences; analytics cookies help us understand traffic and improve the Service. PrepBoss does not use ad-tech or retargeting cookies. You can instruct your browser to refuse cookies; however, some features may not function properly.

2. How we use information

We use personal data for the following purposes:

  1. To provide and maintain the Service. We use personal data to register you, authenticate your access, deliver prep features such as character charts and voice references, host and back up your content, and operate the Service.
  2. To manage your account and provide support. We use your information to administer your account, respond to requests, and send administrative communications such as confirmations, invoices, and technical notices.
  3. To perform and enforce contracts. If you sign up for a paid subscription, we process your billing details to fulfill our contractual obligations.
  4. To communicate with you. We may contact you by email, in-app messages, or other means to send updates about new features, security updates, and important changes to our terms. You can opt out of non-essential communications at any time.
  5. To improve the Service. We may use aggregated usage data for analytics, research, troubleshooting, and development of new features. Any analytics are performed on de-identified or aggregated data.
  6. For legal, safety, and compliance. We may process or disclose your information to comply with law, protect the rights and safety of PrepBoss, our users and the public, prevent fraud, and enforce our agreements.

We do not use customer content for internal model training or for targeted advertising.

3. Sharing and disclosure

PrepBoss does not sell your personal information. We share information only in the following circumstances:

  • Service providers. We engage trusted third-party processors such as cloud hosting providers, analytics vendors, and payment processors to operate the Service. These providers may have access to personal data only to perform services on our behalf and are obligated to handle it consistent with this Policy.
  • Team administrators. If you use PrepBoss under a team or enterprise account, the organization's administrators may access, modify, and delete information in your workspace. Administrators may also view account usage metrics.
  • Business transfers. If PrepBoss is involved in a merger, acquisition, financing, sale of assets, or restructuring, your information may be transferred or shared as part of that transaction. We will provide notice before personal data is transferred and becomes subject to a different privacy policy.
  • Legal requirements. We may disclose personal data if required by law or in response to valid requests by public authorities, for example to meet national security or law enforcement requirements.
  • With your consent. We may share your information with third parties for any other purpose when you give us your explicit consent.

We may publish aggregated, de-identified statistics, for example the number of users who prepared a certain number of manuscripts, that do not identify any individual.

4. Data retention

We retain your personal data only for as long as necessary to provide the Service and fulfill the purposes described in this Policy. We may retain and use your data to comply with our legal obligations, resolve disputes, and enforce agreements. Usage data is generally kept for a shorter period, except when used to strengthen security or improve functionality. When we no longer need personal data, we will securely delete or anonymize it.

5. International transfers

PrepBoss operates from Canada and may process or store information in other countries where our service providers are located. Your information may therefore be transferred to, and maintained on, computers located outside of your province, state, or country. We take steps to ensure appropriate safeguards are in place to protect your data.

6. Data security

We use commercially acceptable technical and organizational measures designed to protect personal data against unauthorized access, accidental loss, destruction, or alteration. However, no method of transmission over the Internet or electronic storage is entirely secure, and we cannot guarantee absolute security.

7. Your rights and choices

PrepBoss respects your privacy rights. Depending on where you reside, you may have certain rights regarding your personal data:

  • Access and portability. You can request a copy of personal data we hold about you and, where applicable, ask us to provide this information in a portable format.
  • Correction and update. You can request that we correct or update inaccurate or incomplete personal data.
  • Deletion. You can request deletion of your personal data, subject to certain legal exceptions. If you close your account, we will delete or anonymize your content and personal data within a reasonable time, unless retention is required by law.
  • Withdraw consent. Where we rely on your consent to process information, for example optional marketing emails, you may withdraw that consent at any time.
  • Object or restrict processing. In some cases, you may object to our processing of your personal data or request that we restrict processing.
  • California privacy rights. If you are a California resident, the California Consumer Privacy Act (CCPA), as amended by the CPRA, provides additional rights, including the right to know what personal information a business collects about you, the right to delete personal information, with exceptions, the right to opt out of the sale or sharing of personal information, the right to correct inaccurate personal information, the right to limit the use and disclosure of sensitive personal information, and the right not to be discriminated against for exercising these rights.

8. Team and enterprise accounts

If your account is managed by an organization, such as a publisher or production studio, that organization's administrator controls the account and may have the ability to access or delete your data. Please refer to your organization's policies for more information. PrepBoss is not responsible for the privacy or security practices of administrators or third-party organizations.

9. Third-party links and services

Our Service may contain links to websites or services not operated by us. We strongly advise you to review the privacy policies of every site you visit. We have no control over and assume no responsibility for the content, privacy policies, or practices of any third-party sites or services.

10. Changes to this Privacy Policy

We may update this Privacy Policy from time to time. When we do, we will post the new policy on this page and update the "Last updated" date. We will also notify you by email or through the Service if the changes are material. You are advised to review this Policy periodically for any changes; changes take effect when posted on this page.
