Share the prep workspace when someone else needs manuscript context, pronunciation context, or a place to leave decisions without sending notes around separately.

Invite someone to a book

Sharing starts from the Books dashboard.

  1. 1Open the Books dashboard.
  2. 2Find the book card and click the share icon.
  3. 3Enter the recipient email address.
  4. 4Choose the role that matches the job: Read only, Note taking, or Collaboration.
  5. 5Click Share. Use Current Access later to review or revoke access.

Choose the narrowest useful role

Most external review does not need full collaboration.

  • Read only lets someone open and read the book without making changes.
  • Note taking lets someone edit notes, dialogue labels, vocabulary notes, and bookmarks.
  • Collaboration allows broader editing, but it is meant for people actively helping prepare the book.

Paid account requirement

Note-taking access does not require the recipient to have a paid account. Full collaboration is the role that requires paid access for both sides. The recipient still needs a PrepBoss account so the share can be attached to a user.

Use note taking for author or producer input

The Note taking role is useful when someone knows the book but does not need full control of the prep workspace.

  1. 1Invite the author, producer, or pronunciation consultant with the Note taking role.
  2. 2Ask them to add bookmarks for manuscript questions and vocabulary notes for names, places, invented words, or unfamiliar terms.
  3. 3Ask them to add character custom notes or voice samples when a name, accent, or made-up word needs to be heard.
  4. 4Review their additions in the Text, Characters, and Vocabulary tabs before final prep review.
